Coordinator desk

A transaction coordinator (TC) keeps files moving: chasing the missing document, and handing off the finished package to compliance. The Coordinator desk is where that work happens. A TC is typically a team lead or admin who supports the agents on their team.

The important framing: the coordinator is not a gate. The agent owns their file. The coordinator assists (nudges for what's missing) and delivers (hands the completed file off) — they don't stand between the agent and their Realm.

Request from agent

When a Realm is missing a document, the coordinator can Request from agent: pick the missing item (or write a short note) and Realm sends a notification straight to the Realm's agent, linking them to exactly where to upload it. It's a nudge, nothing more — the agent still does the work.

Requesting is a team-lead / admin action, because it's about coordinating other people's Realms. A solo agent has no one to request from.

Deliver the completed file

When a file is done, the coordinator delivers it. There are four honest ways to hand it off, and the menu shows only the ones that make sense for that Realm's brokerage and compliance setup:

  • Internal — send the documents to your brokerage's own compliance desk for review. This uses the same submit-for-review step the Realm already has, so the file lands in the broker review queue.
  • Provider — build a provider-shaped export package (for dotloop, SkySlope, Command, and the like) that you upload to that provider.
  • Email — build the package and email a secure download link to a confirmed compliance address.
  • Download — build the package and get a link you hand off yourself.

Delivering is authorized for a team lead or admin, or for the Realm's own member — a solo agent is their own coordinator and can deliver their own file.

The provider option builds a real, provider-formatted package for you to upload — it does not silently push into that provider's system on your behalf. That's deliberate: you always know exactly what was handed off, rather than trusting an invisible "sent" that may not have landed.

A record of every hand-off

Every delivery — internal, provider, email, or download — is written to a permanent, append-only history: who delivered, which Realm, how, and when. Nothing is overwritten, so the brokerage can always reconstruct how a file was handed off.
